Payment Terms & Conditions
Play-On Afterschool, LLC Payment Terms and Conditions
1. Enrollment and Registration
Students must be fully registered in the program, including submission of all required contact information, parent handbook, and billing information, prior to attendance.
Enrollment requires a minimum commitment of one (1) day per week for the duration of the semester. Semester dates will follow the applicable school district calendar.
A student can withdraw from the program before the last Friday of the student’s first month to avoid future financial commitment for the remainder of the semester.
If a student withdraws from the program after the last Friday of the student’s first month of enrollment in the semester, the family will remain financially responsible for a minimum of one (1) day per week for the remainder of the semester.
Appeals for exceptions due to special circumstances may be submitted in writing and will be reviewed on a case-by-case basis.
2. Monthly Attendance Commitments
Families must submit changes to their attendance commitment for the upcoming month no later than the Thursday immediately preceding the last Friday of the current month.
Monthly tuition charges for the upcoming month will be processed on the last Friday of the current month.
Example: Attendance commitments for October must be submitted by the Thursday before the last Friday in September. Charges would be processed on the last Friday in September for this example.
Each month is treated as a separate attendance commitment period for the number of days per week. Families may adjust the number of attendance days and selected weekdays from month to month, provided changes are submitted before the monthly commitment deadline.
Examples:
September: Monday, Wednesday, Friday (3 days/week)
October: Monday, Tuesday, Wednesday, Friday (4 days/week)
November: Tuesday and Thursday (2 days/week)
December: Monday through Friday (5 days/week)
Any additional fees incurred during the final month of the semester will be billed on the last Friday of that month.
3. Attendance Schedule Changes and Additional Days
The monthly attendance commitment includes both:
The number of attendance days per week; and
The specific weekdays the student is scheduled to attend.
Once a month begins, scheduled attendance days may not be switched or exchanged within that month.
If a student wishes to attend an additional non-scheduled day, the family may request approval from the program. Approval is subject to space availability.
Requests for additional attendance days must be submitted by 9:00 a.m. on the requested day of attendance.
Approved additional attendance days will be billed at the applicable single-day rate and added to the following month’s invoice.
No refunds or credits will be issued for missed scheduled days.
Example:
If Student A is enrolled for Monday, Wednesday, and Friday attendance during October, but attends Monday, Tuesday, and Friday during one week:
No credit or refund will be issued for the missed Wednesday.
The Tuesday attendance will be billed at the single-day rate.
Appeals for exceptions due to special circumstances may be submitted in writing and will be reviewed on a case-by-case basis.
4. Late Pickup Policy
The program day ends at 5:45 p.m. Late pickup fees may apply to any student not picked up by that time.
Each student will receive a semester allotment of “grace minutes” for late pickup. Grace minutes are calculated as follows:
Five (5) grace minutes × the student’s enrolled days per week × the number of months in the semester.
Example:
A student enrolled three (3) days per week for a four-month semester would receive:
5 × 3 × 4 = 60 grace minutes for the semester.
Grace minutes may be used in increments as needed throughout the semester.
Once all grace minutes have been exhausted, late pickup fees will apply at a rate of:
$5 for every additional 5-minute increment.
Siblings picked up together will be treated as a single late pickup event. However, grace minutes for siblings do not combine or stack.
Appeals for exceptions due to special circumstances may be submitted in writing and will be reviewed on a case-by-case basis.
5. Discounts and Scholarships
Sibling Discounts
Sibling discounts apply as follows:
Two siblings: 15% discount for the second child
Three siblings: 20% discount for the second and third child
Four or more siblings: 25% discount for each child after the first

Documented financial need (including qualification for free or reduced lunch programs)

9. Late Fees
Late Payments and Late Changes to Scheduled Payments.
In order for a child to be enrolled, we will require a payment method on file. In the event that this payment method declines when we automatically charge it, the parent/guardian will be contacted and have 24 hours to fix the issue and contact us that the issue is resolved. If they fail to do so the payment will be considered late and option 1 will be enacted below.
If a payment is late, there will be an additional charge of (1) 15% of your current plan or (2) if you choose to switch your plan to fewer days you will be charged 50% of the difference between plans. (3) If you choose to switch your plan to more days you will be charged 25% of the difference between plans only if the change is made after the child attends for the first time that month. For example, late fee can look like,
(2)You could switch from 5 days to 3 days, this is a difference of $112, and would have a fee of $56 dollars.
(3) You could switch from 2 days to 4 days, this is a difference of $144. If this is made after the child's first day of the new month there will be a fee of $36 dollars.
(3)You could switch from 2 days to 4 days, this is a difference of $144. If this is made after the billing date but before the child's first day of the new month there will be a fee of $0 dollars.
(1) 15% of 5-days a week would be a fee of $60 dollars.
This fee does not have to be paid before the child can return to care. This fee will be added to the next billing cycle. A payment is considered late when it is received 1 or more days after the day after the last Thursday.
